Week 32: The Application and Screening Process
We encourage people to use our online application, also through Appfolio. Just completing the application is a screening step. The non-refundable application fee also screens non-ideal applicants. We include the disclosure that we will perform credit and criminal background checks on all adult applicants. Fairness and consistency is just good business, ensures we do not run afoul of any Fair Housing laws.
How We Show Properties
Viewing most of our rental listings is self-service, where the applicant trades their driver’s license for a key to the property. We have used this method for years and never had a problem.
We use Rently’s electronic lockbox service on some properties. The applicant supplies Rently with a credit card number, and in return they get an access code to the lockbox. It is secure and convenient, and we are expanding this service with additional boxes every month.
Security Deposits
We suggest our owners require a security deposit equal to one month’s rent. Once we approve an applicant, we require the non-refundable security deposit prior to lease signing. If the tenant fulfills the terms of the lease and leaves the property damage free and broom swept, they will be refunded their deposit within 30 days.
The Leasing Package
We can sign leases electronically, but we believe it is helpful to sit down with them and go over what we expect from them and what they can expect from us at lease signing. The lease package consists of:

- Lead Based Paint Addendum and Brochure (If Applicable)
- Crime Free Lease Addendum
- Smoke Alarm Agreement
- Local Tenants Rights Brochure and sign off sheet.
- Notification Regarding Renter’s Insurance
- Water Card
- The Lease
- Deposit Form
- A Checklist for the meeting.
Collecting Rent
Some tenants mail a check or money order, some pay in person, and many prefer to pay electronically through their Appfoblio personalized tenant portal. We do not accept cash.
